The meeting of the BCGA was called to order at on December 12th at 8:00pm on Skype.

1. Approval of last meeting’s minutes

2. Ongoing business from last executive meeting
Kelly participated in a conference call with geocacher Phil Barnes as well as a MOT employee who is a geocacher and the MOT Manager, Legislation and Road/Rail Policy. He outlined what geocaching is and some of the important considerations for an ongoing policy with respect to geocaching within the MOT right of way. The policy with respect to BC Parks will be a blueprint.
The design is complete and we are happy with look and feel. Now we are looking to deal directly with a mint to produce the coin. There will be three different versions of the coin based on the seasons.
Motion: That the BCGA produces three versions of the 2011 coin working closely with the designer and a mint directly at a cost not to exceed $7000.

BC Parks final report
Report has been written and will be finalised and forwarded to BC Parks in the new year.
MVP/ Geocaching 101 Trainers course
November 24th at Burnaby Lake. Was very successful and the reports back suggest that the MVP staff enjoyed learning about geocaching in their parks.
3. New business
The electronic voting system was tested robustly in December. The executive and the webmaster worked closely to make sure the results tallied with our expectations. We are working out what to do in the very unlikely case of ties. There is also a concern when there are two members under the one caching name. We also need to make sure the voting process is “hack” resistant and clarify the role of the Independent Returning Officer.
We are considering a central location such as Kamloops in the Spring. We will call on the local members to help organise the AGM for 2012. TBD.
So far the webmaster reports up to $800 in costs for 2011 and will invoice by December 31st.
